Performs a variety of skilled administrative and clerical duties directly related to program management activities. These include maintaining databases, preparing routine correspondence, assisting with grant compliance, dealing with meeting logistics, administration of annual breakfast event, providing customer service to grant applicants, and assisting and participating in program events. This position relies heavily on technology. Must have above average skill level with databases and Office products.

This position spends 80% of its time supporting grants and arts education services and 20% of the time supporting finance.

Grants and Arts Education:
Under the direction of the Manager, Grants & Arts Education, assists with annual grant programs for 70+ arts organizations:
 Revising grant guidelines and applications
 Coordinating grant workshops and meetings; assisting applicants
 Reviewing submitted grant applications for eligibility and completeness
 Preparing panel materials and coordinating the logistics of panel meetings and workshops
 Grant compliance review and monitoring (contracts, reporting forms, site visits) Assists with multiple arts education programs:
 Vet arts education lesson plans and programs
 Responsible for arts education website – including postings, approvals, & marketing
 Prepare service agreements with school systems and arts education providers
 Ongoing program evaluation (surveys, site visits) and reporting Principals Appreciation Breakfast
 Lead administrator for the annual Principals Appreciation Breakfast: coordinate with Orange County and public school officials on all event logistics and preparation; handle official UA event communication.
 Coordinate Principals Appreciation Award, market to teachers, create and manage panel, and prepare principals for day‐of activities.
 Responsible for the day‐of event logistics, including location, menu, parking, entertainment, and invitees.

Under the direction of the Chief Financial Officer, provides accounts payable and clerical support. Activities will include:
 Entering invoices to be paid into the accounting software
 Printing checks and ACH vouchers
 Processing ACH payments
 Filing paid invoices
 Updating spreadsheets.
Other duties as required.

 Two or more years of experience in a nonprofit grant making or education environment;
 Events management experience preferred;
 Comfortable using and maintaining e‐granting database software, event related databases and accounting software; comfortable maintaining website content;
 Superior written and oral communication skills;
 Ability to deal effectively with a wide range of people and situations; must be able to interact with clients of all cultural backgrounds; ability to speak Spanish a plus;
 Proactive with ability to work in a team environment;
 Ability to work independently, prioritize and manage diverse activities, and advance numerous projects concurrently;
 Intermediate to advanced math skills; must be able to add, subtract, divide, multiply, and work with fractions, percentages, and
averages; and
 Intermediate to advanced user in Microsoft Word, Excel and Outlook.

 Must have reliable car and current US driver’s license
 Requires travel within the four‐county region
 May require occasional early morning or evening event attendance
 Travel is less than 10% of the position
 Must be able to lift 30 lbs.

 Bachelor’s degree from a four‐year college or university or equivalent work experience
 Exceptional skill sets and experience may qualify in lieu of formal education
The pay rate for this positon is $30,000 per year. United Arts’ benefits include: medical, dental, life, long‐ and shortterm disability, employee 401K, and paid vacation, sick and holiday time.
